How to Manage Your Inventory and Inventory Sync with 3Dsellers Products Catalog

Learn where to view and edit inventory, how inventory sync works per channel, and how to use Multichannel Inventory Management and Inventory Logs to keep stock accurate across all your sales channels.

This guide explains how to manage inventory in the 3Dsellers Products Catalog, how inventory sync works across channels, and how to use the Multichannel Inventory Management dashboard and Inventory Logs.

The Products Catalog acts as the central inventory source for all connected channels.


🔎 Overview

Inventory stored in the 3Dsellers Products Catalog is used to control stock across your sales channels.

Using the catalog, you can:

  • Manage inventory per product

  • Track stock across warehouses

  • Sync quantity and price to connected channels

  • Monitor inventory changes through Inventory Logs

Keeping catalog inventory accurate ensures your listings show the correct stock everywhere.


📍 Where to Manage Inventory

Inventory can be managed in two places.


🧾 Edit Product → Inventory

Use this section to manage inventory for a single product.

1) Click to Edit the product:

2) Go to the Inventory section


Here you can view:

  • On Hand Qty

  • Reserved Qty

  • Available Qty

  • Inventory Type (Warehouse or Bundle)

  • Inventory-Synced Channels

Click Edit Inventory to open the detailed Inventory Settings.


🗂️ Inventory Management (Multichannel Inventory Management)

This dashboard shows inventory for all products in one table.

You can:

  • View On Hand / Reserved / Available quantities

  • See which channels are synced

  • Perform bulk inventory updates

  • Upload inventory updates via CSV

📊 Understanding Inventory Quantities

3Dsellers tracks three quantities for each product.

📦 On Hand Qty

Total physical stock available.


🔒 Reserved Qty

Units reserved for pending orders or holds.


🟢 Available Qty

Units available for sale.

Available Qty = On Hand Qty – Reserved Qty

When inventory sync is enabled, Available Qty is typically sent to the sales channel.


🏭 Inventory Types

Inside Inventory Settings, you can choose how inventory is managed.


🏬 Warehouse Inventory

Tracks inventory per warehouse.

You can:

  • Add multiple warehouses

  • Set warehouse priority

  • Enter On Hand Qty per warehouse

  • Add Bin Locations

Total inventory equals the sum of all warehouses.


📦 Bundles & Kits

Used for bundle or kit products.

Inventory may be calculated based on component products instead of a single stock value.

Most standard products use Warehouse inventory.


✏️ Editing Inventory for a Product

Step 1 — Open Product Inventory

  1. Go to Products Catalog

  2. Open the product

  3. Click Inventory

You will see:

  • On Hand Qty

  • Reserved Qty

  • Available Qty

  • Inventory Type

  • Inventory-Synced Channels

Click Edit Inventory.


Step 2 — Configure Inventory Settings

In this window you can:

🔗 View Inventory-Synced Channels

See which channels (for example eBay account XYZ or WooCommerce store ABC) are synced with the product.


⚙️ Select Inventory Type

Choose Warehouse or Bundles & Kits.


🏬 Add Warehouses

Add warehouses and manage:

  • Priority

  • On Hand Qty

  • Bin Location

📊 View Total Inventory

A summary row shows totals across warehouses.


🕘 View Inventory Log

Displays inventory change history including:

  • Date

  • Event

  • User

  • Old Qty

  • New Qty

If no records exist:

No inventory records exist

Click Save & Exit to apply changes.


🔄 Inventory Sync

Inventory sync allows 3Dsellers to automatically update listing quantities and prices on connected channels.

Sync settings are configured per channel, not per product.

When enabled, updates made in the catalog can automatically update:

  • listing quantity

  • listing price


🌐 Inventory Sync Settings by Channel

You cannot configure sync per product.

Sync settings apply to the entire channel account.


Open the settings

  1. Go to Products Catalog → Inventory Management

  2. Click Inventory Sync Setting by Channel


You will see connected channels such as:

  • eBay account XYZ (COUNTRY)

  • Shopify store ABC

Click Edit Settings to configure sync behavior.


⚙️ Channel Integration Settings

When editing a channel (example eBay account XYZ), you can configure how inventory and price updates behave.


💲 Price Sync

Choose how price changes in the catalog affect channel listings.

Options:

  • Don't update price

  • Update price

Optional:

  • Update price for unlinked listings

Mapping template rules may also modify the price sent to the channel.


📦 Inventory Updates from Product Changes

Choose what happens when product quantity changes in 3Dsellers.

Options:

  • Don't update quantity on the channel

  • Update quantity on the channel

Optional:

Update the products quantity for unlinked listings


⚠️ Important Notes

Catalog Controls Inventory

When Products Catalog inventory management is enabled, warehouse quantities cannot be managed through the Listing Tool.

Inventory must be updated in the Products Catalog, such as:

  • Edit Product → Inventory

  • Inventory Management dashboard

  • CSV inventory updates

Catalog changes then sync to your channels based on the sync settings.

Listings Must Be Linked

For automatic updates, the listing must be linked to the catalog product (matching SKU).

  • Linked listings → update automatically

  • Unlinked listings → update only if this option is enabled:

Update the products quantity for unlinked listings

🛒 Inventory Updates from Received Orders

Choose how orders affect catalog inventory.

Options:

  • Don't update catalog quantity

  • Update product quantity in 3Dsellers

Selecting Update product quantity ensures sales reduce catalog stock.


🧩 Common Inventory Sync Use Cases


🔁 Same SKU on eBay and Shopify

Scenario

A product is listed on:

  • eBay account XYZ

  • WooCommerce store ABC


Both listings are linked to the same catalog product.

SKU: ABC-123
Catalog Quantity: 10

When the item sells on WooCommerce

  1. Order is received on WooCommerce account ABC

  2. Order is imported into 3Dsellers

  3. Catalog inventory decreases

Catalog: 10 → 9
  1. The catalog sync updates all connected listings

Result:

eBay account XYZ: 9
WooCommerce store ABC: 9

This prevents overselling across channels.

All the quantities changes will be available in the logs:


📦 Manual Catalog Inventory Update

Scenario

You receive new stock and update the catalog.

Catalog: 10 → 20

3Dsellers automatically updates all connected listings:

eBay account XYZ → 20
Shopify store ABC → 20
WooCommerce store DEF → 20

⚠️ Inventory Sync Disabled or Listing Not Linked

Inventory updates from the catalog will only apply to listings that meet both conditions:

  1. Inventory sync is enabled for the channel

  2. The listing is linked to the catalog product (matching SKU)

If either condition is not met, the listing will not receive automatic quantity updates.


Example

The product SKU wce-787-3d is listed on:

  • eBay account XYZ

  • Shopify store ABC

Catalog inventory:

13 units

Scenario 1 — Inventory Sync Disabled

Inventory sync is disabled for eBay account XYZ in the channel settings.

If the catalog inventory changes:

Catalog: 13 → 12

Result:

Shopify store ABC → updates to 12
eBay account XYZ → remains 13

Because inventory sync is disabled, 3Dsellers will not send quantity updates to that eBay account.


Scenario 2 — Listing Not Linked

If the eBay listing is not linked to the catalog product, the quantity will also not update automatically.

The listing will only update if the following option is enabled in the channel settings:

Update the products quantity for unlinked listings

Otherwise, the listing will continue using its own quantity.


✔ To ensure inventory stays synchronized across channels:

  • Enable Update the products quantity on the channel

  • Make sure the listing is linked to the catalog product (matching SKU)


📜 Inventory Logs

Inventory Logs help you track inventory changes across products and channels.


Access

Products Catalog → Inventory Management → Logs


Logs show:

  • Product name and SKU

  • Channel

  • Event date

  • Old quantity value

  • New quantity value

  • Event

Use filters or search to investigate inventory changes.
