Overview

Product Catalog Inventory Management in 3Dsellers lets you update inventory quantities using two main methods:

  1. Bulk updates directly in the interface

  2. CSV imports for larger updates or external inventory files

The Multichannel Inventory Management system tracks inventory by SKU, helping maintain accurate stock across eBay accounts and other selling channels.

To avoid overselling and keep listings accurate, it’s important to understand both update methods and how Inventory Sync Settings by Channel affect inventory updates.

Accessing Multichannel Inventory Management

  1. Log in to your 3Dsellers account.

  2. In the left sidebar, go to Products Catalog.

The Multichannel Inventory Management page displays products by SKU, inventory by warehouse, and sync status by selling channel.

Understanding the Inventory Management Interface

Key features

  • Product list: SKUs, images, and current inventory

  • Warehouse info: which warehouse is assigned to each product

  • Inventory metrics: On Hand / Available / Reserved

  • Sync channels: which marketplaces/accounts are synced for each product

  • Bulk selection: select multiple products for bulk actions

  • Search and filters: find products quickly by SKU and filters

Table columns

  • Checkbox: select products for bulk operations

  • Image: product thumbnail

  • Items: SKU and identification

  • Warehouse: warehouse assignment

  • On Hand: total physical inventory (editable with pencil icon)

  • Available: available for sale (On Hand minus Reserved)

  • Reserved: reserved for pending orders

  • Sync Channels: Shows where the product is listed across your connected channels

    • Empty if the product is not listed on any channel

    • Displays listing status (for example: Live or Pending)

    • Shows whether a listing has errors

    • Indicates the linking status between the catalog product and the listing

Method 1: Bulk Update Inventory

Bulk update is best for quick changes to a selected group of products.

Step 1: Select products

  1. In Inventory Management, use search or filters to find the products.

  2. Select products using the checkboxes.

  3. (Optional) Use Select all to select all visible products.

  4. Confirm the message: “X items are selected.”

Step 2: Open the bulk update modal

  1. Click Update Inventory in the action bar.

  2. The Set Warehouse Inventory modal opens.

Step 3: Configure warehouse and quantity

In the Set Warehouse Inventory modal:

Select warehouse

  • Choose a warehouse from the dropdown.

  • The selected warehouse is applied to all selected products.

  • If a product already has a warehouse assigned, it will be updated.

Set quantity

Choose one update method:

  • Set Quantity to: replaces all selected products with the exact value

  • Increase quantity by: adds a value to the current quantity of each product

Include variations

  • Enable Include variations to update variation inventory for selected products.

Step 4: Execute update

  1. Review your selections.

  2. Click Update.

  3. Wait for the confirmation message.

Step 5: Verify results

After the update completes:

  • Confirm how many products were updated

  • Check inventory values in the table

  • Confirm warehouse assignments

  • Verify sync channels reflect the update (if sync is enabled)

Important notes about bulk updates

  • Warehouse assignment: applies the selected warehouse to all selected products (overwrites previous warehouse assignments)

  • Quantity overwrite: “Set Quantity to” replaces existing quantities

  • Variations: updating variations may affect multiple variation rows/listings

  • Sync behavior: inventory updates sync based on your Inventory Sync Settings by Channel

Method 2: Update Inventory with CSV File

CSV updates are best for large inventory updates (50+ products), inventory counts, or importing inventory from external systems.

Step 1: Prepare your CSV file

Required columns

  • sku (required)

  • quantity (required)

  • warehouse (optional but recommended for multi-warehouse setups)

Example CSV format

sku,quantity,warehouse PROD-001,50,Karol_Warehouse PROD-002,30,Karol_Warehouse PROD-003,25,Lake_Mary_Florida_Warehouse VAR-001,100,Karol_Warehouse

CSV requirements

  • Save as .csv with UTF-8 encoding

  • First row must contain column headers

  • SKUs must match catalog SKUs exactly

  • Quantity must be numeric (0 or positive integers)

  • Warehouse names must match existing warehouses exactly

Step 2: Access CSV import

You can start a CSV inventory update in either location:

Option A: Inventory Management

  • Click Update Inventory with CSV in the action bar.

Option B: Import/Export Files

Step 3: Upload your CSV file

  1. Click Choose File / Browse / Upload.

  2. Select your CSV file.

  3. The system begins processing.

Step 4: Map CSV columns (Inventory CSV mapping)

After upload, you’ll reach the Mapping screen. This step controls how each CSV column updates inventory.

What to do

  1. Confirm SKU is mapped correctly (required).

  2. Map your CSV quantity column to the quantity field.

  3. (Optional) Map warehouse if included in your CSV.

  4. Leave fields as Don’t import if you do not want them updated.

  5. (Optional) Save the mapping using a Mapping Preset to reuse later.

  6. Click Start Import (or Import/Confirm) to run the update.

Step 5: Verify results

After import completes:

  • Review the summary (how many updated / any errors)

  • Confirm quantities updated in the inventory table

  • Verify warehouse assignments

  • Confirm sync channels reflect updated inventory (if sync is enabled)

Scheduled CSV Imports (Beta)

If you need automated inventory updates:

  1. Go to Products Catalog > Import/Export Files

  2. Open Scheduled (Beta)

  3. Create a schedule to import CSV files from a URL or FTP

  4. Set frequency (e.g., every 3 hours, daily)

  5. Set the action to Update Inventory

  6. Enable or disable the schedule as needed

Inventory Sync Settings by Channel

These settings control how inventory changes sync between 3Dsellers and your connected channels (eBay accounts, etc.). Proper configuration helps prevent overselling.

Accessing sync settings

  1. In Inventory Management, click Inventory Sync Setting by Channel.

  2. The modal opens showing connected channels and sync status (ON/OFF).

Editing channel sync settings

  1. In the sync settings modal, click Edit Settings for a channel.

2. Configure the sync sections below.

3. Click Save.

Channel settings explained

Section 1: Price Sync

Controls whether catalog price changes update linked listings on the channel.

Options

  • Don’t update the products price on [Channel Name]

  • Update the products price on [Channel Name]

Tip: You can also adjust pricing using Mapping Template rules (increase/decrease/round/end in .99, etc.).

Section 2: Inventory Updates from Product Changes

Controls whether inventory changes in 3Dsellers update linked listings on the channel.

Options

  • Don’t update the products quantity on [Channel Name]

  • Update the products quantity on [Channel Name]

Note: After turning this ON, 3Dsellers will update quantity only after a new action occurs (CSV, bulk update, manual change, or order received).

Section 3: Inventory Updates from Received Orders

Controls whether imported orders reduce inventory in 3Dsellers automatically.

Options

  • Don’t update the product quantity on 3Dsellers

  • Update the product quantity on 3Dsellers

How sync settings affect inventory updates

If “Inventory Updates from Product Changes” is ON

  • Bulk updates sync to channel

  • CSV imports sync to channel

  • Manual edits sync to channel

  • Order-based changes sync to channel

If “Inventory Updates from Product Changes” is OFF

  • Inventory changes in 3Dsellers do not update channel listings automatically

If “Inventory Updates from Received Orders” is ON

  • Orders reduce inventory in 3Dsellers automatically

  • Helps prevent overselling when listed on multiple channels

If “Inventory Updates from Received Orders” is OFF

  • Orders do not affect 3Dsellers inventory automatically

  • You must manage decreases manually

Best practices for inventory updates

Choosing the right method

Use Bulk Update for:

  • quick updates to a small set of products (10–50)

  • setting the same quantity for multiple products

  • increasing quantities by a fixed amount

  • assigning products to a warehouse

Use CSV Update for:

  • large updates (50+ products)

  • physical inventory counts

  • external inventory systems

  • scheduled/automated updates

  • different quantities per SKU

Before updating

  • Review channel sync settings

  • Export inventory data as backup if making major changes

  • Verify SKUs and warehouse names

  • Test with a small batch first (5–10 products)

After updating

  • Verify a sample of products

  • Monitor sync and confirm listings reflect updates

  • Save logs/records for reconciliation

Troubleshooting

Bulk update not working

  • Confirm products are selected

  • Verify warehouse exists

  • Validate quantity values

  • Try a smaller batch

CSV import fails or shows errors

  • Confirm file is CSV + UTF-8

  • Check headers: sku, quantity, warehouse

  • Confirm SKUs match exactly (no spaces, typos, casing issues)

  • Confirm quantity is numeric and non-negative

  • Confirm warehouse names match exactly

Inventory not syncing to channels

  • Ensure “Inventory Updates from Product Changes” is ON for that channel

  • Verify channel connection is active

  • Confirm products are linked to listings (if required)

  • Allow time for sync to complete

Orders not updating inventory

  • Ensure “Inventory Updates from Received Orders” is ON

  • Confirm orders are importing into 3Dsellers

  • Confirm SKUs match catalog SKUs

Warehouse not appearing

  • Confirm warehouse exists in Products Catalog > Warehouses

  • Ensure it’s active

  • Refresh the page

Quantities not updating correctly

  • Confirm whether you used “Set Quantity to” vs “Increase quantity by”

  • Double-check CSV values

  • Check if another process is updating inventory at the same time

  • Review sync behavior

Important notes and limitations

  • Bulk updates apply the selected warehouse to all selected products

  • Very large CSV files may need splitting into smaller batches

  • Quantities must be non-negative integers

  • CSV warehouse names must match existing warehouses exactly

  • Some sync functions require products linked to listings

  • Orders affect inventory only if orders are imported and order-sync is enabled
