3Dsellers Listings Automations — Complete Guide

Listings Automations let you set rules that automatically update and optimize your eBay listings. Choose a trigger, optional filters, and actions like inventory syncing, template applying, catalog imports, or AI content generation.

Listings Automations let you automatically update and optimize your eBay listings based on rules you define. Instead of manually adjusting inventory, templates, or listing content every time something changes, you set a trigger + conditions, and 3Dsellers handles the updates for you.

Listings & Products → Listings Manager → Automations


✅ What you can automate

With Listings Automations, you can automatically:

  • Update listing inventory quantities

  • Sync warehouse stock levels

  • Enable/disable Inventory Control

  • Apply Listing Designer templates

  • Import newly listed items into your Product Catalog

  • Generate AI listing content (title/description/SEO)

Automations work only after you save and activate them.


🧭 Automations Page Overview

When you open Automations, you’ll see two tabs:

➡️ Automations tab

Your main dashboard for managing automation rules.

Top buttons:

  • Filter – narrow the automations list by trigger or other criteria.

  • New Automation – create a new rule from scratch.

  • Suggest Automations – a place where you can suggest new automation to the system


➡️ Logs tab

A history of what automations actually ran.

You’ll see:

  • Automation Date

  • Item

  • Automation Name

  • Trigger

  • Actions performed

  • Status (✅ success)

There’s also a search box (Type Item ID) to filter logs by a specific listing.


➕ Creating a New Automation

Click New Automation to open the “Create Automation” panel.

You’ll set your automation in this order:


1. Name (Required field)

Give your automation a clear name so you can find it later.
Example: “Auto-SEO on New Listings” or “Sync Warehouse Quantity”.


2. Notes (Optional field)

Add internal notes about what the automation does or who requested it.



3. Channel

Select which marketplace the automation applies to.
Currently supported: eBay.



4. Trigger

Triggers define when the automation runs.

Available triggers:

  • 📦 Warehouse Updated
    Runs when a warehouse quantity changes.

  • 🆕 Item Listed
    Runs when a new listing is created on eBay.

Pick the one that matches your workflow.


5. Filters (Optional field)

Filters narrow which items are eligible before actions run.
Click Filter to add one or more filters.

Filter fields available:

  • Title

  • SKU

  • Variation SKU

  • Tag

  • Has GPSR

  • Item with variations

  • Best offer enabled

  • Images Count

  • SEO

  • Vehicle compatibility

  • MPN

  • Category

  • Publish date

  • Policies

  • Price

  • Quantity Sold

  • & much more

How filters work:

  • You can add multiple filters to target very specific listings.

  • Great for segmenting by category, tags, or listing quality issues.


6. When (Condition)

The When section is only available when selecting the Warehouse Updated trigger.

Example:

  • Warehouse Inventory greater than / equals / less than 0

Operators available:

  • greater than

  • equals

  • less than

This decides if the automation should continue running for that item.


7. Actions

Actions are what the automation does once trigger + filters + conditions match.

Click Select Action and choose one or multiple actions.

Available Actions:

🔄 Update Inventory

Updates the eBay listing quantity shown to buyers.

Fields:

  • Display Quantity – the number that will appear on the listing instead of real warehouse quantity.

Use when: you want to overwrite display quantity after a trigger.


🏬 Update Warehouse

Updates the warehouse stock value.

Fields:

  • Warehouse Inventory – the new warehouse quantity to set.

Use when: you want warehouse stock to be updated after a trigger.


🧮 Update Inventory Control

Toggles Inventory Control on/off.

Fields:

  • Inventory Control toggle

Use when: you want to enable control only under certain conditions.

🎨 Apply Listing Designer Template

Automatically applies a Listing Designer template.

Fields:

  • Apply Template – dropdown to select a template.

Use when: you want new items to always use a consistent branded layout.


📚 Import Products to Catalog

Adds listings into your 3Dsellers Product Catalog automatically.

No extra fields required.

Use when: you want every new item listed to be imported into the Products Catalog.


✨ Generate AI Listing Content

Generates and inserts AI content.

Options to generate:

  • Item Title

  • Main Description

  • SEO Meta Description

  • SEO Mobile Description

  • SEO Keywords

Extra option:

  • Select Tags (Optional) – apply a tag automatically after generation.

Use when: you want consistent, optimized listing copy without manual editing.


8. Save Options

Bottom buttons:

  • Cancel – discard changes.

  • Save – save as draft (not active yet).

  • Save and Activate – saves and turns automation on immediately.

⚠️ Note: Automations only run when Active.

Here are practical ways sellers use Listings Automations:

1. Auto-optimize new listings

Trigger: Item Listed
Action: Generate AI Listing Content + Apply Listing Designer Template
Result: Every new listing publishes with optimized SEO + branded design.


2. Update Warehouse to avoid out-of-stock listings

Trigger: Warehouse Updated
When: Warehouse Inventory equals 0
Action: Update Warehouse (Warehouse Inventory = 10) + Update Inventory (Display Quantity = 3)
Result: Items are restocked automatically when warehouse hits zero & display quantity is selected to hide real inventory.


3. Fix listing quality problems automatically

Trigger: Item Listed
Filters: SEO is not present
Action: Generate AI Listing Content > Select SEO fields to be generated
Result: New listings are corrected the moment they are created.


4. Segment automation by Category

Trigger: Warehouse Updated
Filter: Category = “Cell Phones & Smartphones”

Condition: When Warehouse Inventory is greater than 1
Action: Update Inventory / Apply Template
Result: Automation update inventory and apply template only to targeted product groups (when matches filter and condition selected)


📌 Best Practices

  • Start simple. Use one trigger + one action first, then expand.

  • Name automations clearly. This helps when reviewing Logs later.

  • Use Filters to avoid over-automation. Especially for category-specific logic.

  • Review Logs weekly. Confirm automations fire as expected.

  • Avoid conflicting rules. Two automations with opposite actions can create “ping-pong” updates.


❓ FAQs

Q: Do automations change my listings without permission?
Yes — once activated, automations update listings automatically when conditions match. That’s why Filters and When rules matter.

Q: Can I add more than one action in a single automation?
Yes. You can stack actions (example: update inventory + apply template + generate SEO).

Q: How do I know an automation ran successfully?
Go to Logs. A green ✅ in Status means it ran without errors.

Q: Can I test an automation first?
Save it with Save only (draft), review your setup, then activate.

Q: What if my automation doesn’t run?
Check:

  1. Is it Active?

  2. Is the Trigger correct?

  3. Do Filters/When conditions match any items?

  4. Review Logs for failures or missing matches.


🛠 Troubleshooting

Automation runs, but nothing changes

  • The selected action may require a valid value (example: Display Quantity blank).

  • Conditions might not be met even though trigger fires.

Automation never appears in Logs

  • Not active.

  • No matching listings for filters.

  • Trigger not firing for your workflow.

Unexpected updates

  • Check if you have another automation affecting the same category/SKU.

  • Narrow items with Filters or Tags.
