Troubleshooting Auto Messages & Digital Goods Auto Messages – Why Didn’t the Message Send?

If your automatic message or digital goods message was not sent, the issue is usually related to overlapping triggers, conflicting rules, or duplicate automation setups.

This guide explains the most common causes and how to resolve them.


Understanding the Two Auto Message Systems

3Dsellers includes two separate messaging systems:

1. Digital Goods Auto Messages

Located under:

Listings & Products → Digital Goods → Messages

Used mainly for:

  • digital delivery

  • codes/licenses

  • downloadable products

  • digital fulfillment workflows


2. Marketing Auto Messages

Located under:

Marketing → Auto Messages

Used mainly for:

  • buyer communication

  • shipping notifications

  • follow-up emails

  • feedback messages

  • general automation


Important: Do Not Use Both Systems

If you are using:

  • Digital Goods Auto Messages

you should NOT also use:

  • Marketing → Auto Messages

Using both systems together can cause:

  • messages not sending

  • duplicate messages

  • one automation overriding another

  • inconsistent delivery behavior


Why This Happens

Both systems monitor the same order events.

For example:

  • Item Sold

  • Item Shipped

  • Positive Feedback Received

If both systems attempt to send a message for the same order event, the platform will prioritize only one message.

As a result:

  • one message may send

  • the other may be skipped entirely


System Rule: Only One Message Sends Per Trigger

3Dsellers prevents multiple overlapping messages from sending for the same item and trigger.

Multiple messages will not send for the same item and trigger; only the message that targets the most items will send.

This applies to:

  • Digital Goods messages

  • Marketing Auto Messages

  • overlapping rules inside the same system


Available Sending Triggers

Available triggers include:

  • Item Sold

  • Item Shipped

  • Sold but not paid

  • Delayed Handling Time

  • Positive Feedback Received

  • Neutral Feedback Received

  • Negative Feedback Received

  • Return Created (Beta)

  • Order Inquiry Opened (Beta)

Messages are only sent after the selected trigger event occurs.


Common Reasons Why a Message Didn’t Send

1. You Have Duplicate Triggers Configured

Example:

  • Digital Goods Message → Item Sold

  • Marketing Auto Message → Item Sold

Only one of them will send.

Solution

Choose only one messaging system for that workflow.


2. Multiple Messages Use the Same Sending Trigger

Inside the same system, multiple active messages may compete against each other.

Example:

  • Message A → Item Sold → All Buyers

  • Message B → Item Sold → Specific Rules

The broader message may override the specific one.


3. “All Buyers” Messages Override Specific Rules

If one message targets:

  • All Buyers

and another targets:

  • specific listings/categories/keywords

the “All Buyers” message usually has higher priority because it targets more items.

Solution

Avoid mixing:

  • “All Buyers”

  • and specific-rule messages

on the same trigger.


4. Overlapping Rules Conditions

Conflicts can happen when multiple messages match the same listing.

Example:

  • Rule A → Title contains “ebook”

  • Rule B → Title contains “pdf”

A listing matching both rules may only trigger one message.

Solution

Create mutually exclusive rules whenever possible.


5. Message Is Disabled

Verify the message status toggle is enabled.

Disabled messages will never send.


6. Wrong Account or Channel Selected

Make sure:

  • the correct eBay account is selected

  • the correct channel is configured

  • the listing belongs to that account


7. Trigger Conditions Were Never Met

Messages only send after the selected event occurs.

Example:
An “Item Shipped” message will not send until the order is actually marked as shipped.


Understanding Auto Message Rules

Auto Message Rules control which orders, listings, buyers, or situations will trigger a message.

Rules can be based on:

  • Item title

  • SKU

  • Item ID

  • Category

  • Store category

  • Buyer country

  • Buyer note/check-out message

  • AND / OR rule groups

  • Advanced filters

Because rules can become very specific, it’s important to avoid creating multiple messages that match the same item and trigger.

For example:

  • Message A → Item Sold → Title contains “ebook”

  • Message B → Item Sold → Category = Digital Goods

If a listing matches both conditions, only one message may send.

Understanding Message Prioritization

When two or more active messages match:

  • the same item

  • the same trigger

only one message will send.

The system prioritizes the message that:

  • targets the largest matching audience

  • or has broader rule coverage

This prevents buyers from receiving duplicate communications.


How to Troubleshoot Step-by-Step

Step 1 — Check Which System You Are Using

If you use:

avoid also using:

for the same trigger.

Choose one system only.


Step 2 — Review Active Triggers

Check all active messages and verify:

  • trigger type

  • overlapping triggers

  • duplicate workflows


Step 3 — Review Rules

Look for:

  • overlapping keywords

  • duplicate item conditions

  • “All Buyers” conflicts

  • broad targeting


Step 4 — Disable Competing Messages

Temporarily disable:

  • duplicate auto messages

  • overlapping digital goods messages

Then test again.

Real Example of a Rule Conflict

Below is an example of a common setup conflict that prevents a message from sending.

The user created two active messages with the same Sending Trigger:

Message 1

  • Trigger: Item Sold

  • Rule: All Buyers

Message 2

  • Trigger: Item Sold

  • Rule: Title contains "XXL t-shirt"

When an order includes an item with the title:

  • “XXL t-shirt”

both messages match the same order.

However, 3Dsellers only allows one message per item and trigger.

Since the All Buyers message targets a larger number of items, it takes priority over the more specific rule.

As a result:

  • the Title contains "XXL t-shirt" message is skipped

  • only the generic All Buyers message is sent

Why This Happens

The system prioritizes the message with the broadest matching audience to prevent duplicate messages from being sent to buyers.
