Contacts Tool | Manage Customers & Leads in 3Dsellers

🧭 Introduction

The Contacts tool in 3Dsellers is your central place to view, organize, and manage customers and leads from all connected sales channels in one unified list.

Use the Contacts tool to:

  • See who your customers and leads are across eBay, Amazon, Walmart, Shopify, and more

  • Understand buying behavior (orders, total spend, recency)

  • Create and manage segments for targeting and analysis

  • Add tags and internal notes to keep your team aligned

  • Quickly access order history and past messages for each contact

Menu path:
Orders → Contacts

The All Contacts page displays every customer and lead collected from all connected sales channels in one unified table, including contact type, sales channel, total orders, and total spend.


What You’ll Find in the Contacts Tool

The Contacts area is built around a contact list with powerful filters and predefined segments. Each contact represents either:

  • a Customer (has placed at least one order)

The Customers segment shows only contacts who have placed at least one order, allowing you to quickly view purchasing history, sales channel, and lifetime value.

  • a Lead (added manually, with no orders yet)

The Leads segment lists manually created contacts with no orders yet. Leads are marked with the Lead contact type and a Manual sales channel.


📊 Contacts Table Overview

The main Contacts table displays all available information at a glance.

Columns you’ll see:

  • Contact Name – Customer name or identifier

  • Contact Type – Customer or Lead

  • Contact ID – Channel-specific identifier or email

  • Contact Tags – Internal tags (optional)

  • First Contact – Date the contact first appeared

  • Last Contact – Most recent interaction or order date

  • Sales Channel – Amazon, Walmart, Shopify, Manual, etc.

  • Total Orders – Number of completed orders

  • Total Spent – Lifetime spend across orders

  • Actions – View contact details or delete (icon-based)


🗂️ Contact Default Segments (Left Sidebar)

On the left side of the Contacts page, you’ll find segments that help you quickly filter your contacts.

Default Segments

These segments are available by default:

  • All Contacts – Everyone (customers + leads)

  • Customers – Contacts with at least one order

  • Leads – Manually created contacts with no orders

  • Frequent Customers – Customers who ordered recently and/or multiple times

  • Recent Customers – Customers with recent orders

  • Repeat Customers – Customers with more than one order

The exact criteria are visible in the filter bar when you open a segment.

Contacts Custom Segments

Under Custom Segments, you’ll see any segments you created yourself (for example: “Spent more than $1000”).

You can:

  • Sort the custom segments list: by creation date, alphabetically or manually dragging and dropping

  • Expand or collapse the segment list

  • Add new custom segments


🔍 Filtering Contacts

Click Filter at the top of the Contacts table to create advanced filters.

Available Filter Fields

From the filter dropdown, you can filter by:

  • Name

  • Type (Customer / Lead)

  • Username

  • Phone

  • Country

  • City

  • Postal Code

  • Total Spent

  • Total Orders

  • Days Since Last Order

  • Product SKU

  • Product ID

  • Product Title

  • Has Order Status

  • Sales Channel

Filters can be combined to create very specific views (for example: customers who placed 3+ orders and spent more than $500).


🏷️ Bulk Actions

When you select one or more contacts using the checkboxes, Bulk Actions become available.

Available Bulk Action

  • Add or Remove Tags

This allows you to tag multiple contacts at once for internal organization or future segmentation.


➕ Creating a New Lead

You can manually add leads to your Contacts list.

Steps:

  1. Go to Orders → Contacts

  2. Open the Leads segment

  3. Click Create new Lead

  4. Enter the required contact information

  5. Save

Manually created leads:

  • Appear with Contact Type = Lead

  • Have Sales Channel = Manual

  • Show 0 orders and $0.00 spent until they convert into customers


👤 Viewing Contact Details

Click the eye icon (View) in the Actions column to open a contact profile.

Contact Details Page Includes

📌 Contact Details (Left Panel)

  • Full address (if available)

  • Creation date

  • Contact tags (add or edit tags)

📝 Contact Notes

  • Add internal notes for your team

  • Notes are private and not visible to customers

🧮 Orders Summary (Top Right)

  • Total orders

  • Canceled orders

  • Return requests

  • Cases

  • Tickets

  • Total spent

📦 Orders List

For each order, you can see:

  • Order date

  • Order ID (clickable)

  • Total price

  • Associated products

  • Quick action menu

💬 Messages

  • Historical messages related to this contact

  • Includes system and channel-related communications


🏷️ Working with Tags

Tags help you organize contacts internally.

  • Add tags from the contact list or contact profile

  • Use tags with filters and bulk actions

  • Tags are internal only and do not affect the customer experience


⚠️ Important Behaviors & Limitations

  • Contacts are read-only in terms of core customer data (name, email, address) pulled from sales channels

  • A single customer may appear once, even if they ordered multiple times

  • Leads do not automatically convert into customers until an order exists

  • Sales channel is determined by where the order or lead originated

  • Total Orders and Total Spent update automatically based on order activity


💡 Common Use Cases

  • Identify your top-spending customers

  • Find inactive customers using “Days Since Last Order”

  • Segment customers for follow-ups or internal analysis

  • Keep internal notes about VIPs or special cases

  • Track leads added manually before first purchase


❓ FAQ

Can I edit customer information from Contacts?

No. Customer data comes directly from connected sales channels and cannot be edited manually.

What’s the difference between a Lead and a Customer?

A Lead is manually created and has no orders. A Customer has placed at least one order through a connected channel.

Can I delete contacts?

Only if it's a lead. Leads can be removed using the delete icon in the Actions column.

Are tags visible to customers?

No. Tags are for internal use only.

Why is a contact showing $0.00 spent?

The contact either has no completed orders or is a lead.
