Canceling Orders in 3Dsellers (With Inventory Reallocation)

This guide explains how to cancel an order, when to use inventory reallocation, and what to expect after cancellation.

Canceling orders in 3Dsellers helps you handle situations where an order cannot be fulfilled, such as customer cancellations, out-of-stock items, address issues, or payment problems. When canceling an order, you’ll also have the option to reallocate the canceled quantity back into your inventory, which helps keep stock levels accurate.


Accessing Order Cancellation

To cancel an order in 3Dsellers:

  1. Log in to your 3Dsellers account

  2. Go to Orders or Orders & Disputes

  3. Locate the order you want to cancel

  4. Open the action menu (lightning bolt icon)

  5. Select Cancel order


Understanding the Cancellation Modal

When you cancel an order, a Cancellation modal will appear. It includes:

  • The Order ID you are about to cancel

  • A Cancellation Reason dropdown

  • (Optional) Cancel Specific Transaction toggle (for multi-item orders)

  • The Inventory Reallocation checkbox

  • A warning that the action is irreversible

  • Buttons for Cancel or Cancel Order

⚠️ Please note: Canceling an order cannot be undone.


Step-by-Step: Canceling an Order

  1. Open the order and click Cancel order

  2. Confirm the order details are correct

  3. Select the appropriate cancellation reason

  4. (Optional) Enable Cancel Specific Transaction if you only want to cancel certain items

  5. Choose whether to keep Inventory Reallocation enabled

  6. Click Cancel Order to confirm

Once confirmed, the order status will update to Cancelled in your Order Manager.


Inventory Reallocation (Catalog Requirement)

When canceling an order, you may see this checkbox:

Reallocate order quantity back to 3Dsellers product catalog warehouse

What it does

When enabled, 3Dsellers will attempt to return the canceled quantity back into your inventory so the item becomes available again for future orders.

Important: When reallocation works

Inventory reallocation will only work if you are managing inventory through the 3Dsellers Product Catalog, meaning:

  • The product exists in your Product Catalog

  • The order item is linked to that product (SKU match)

  • Your inventory is being tracked through the Product Catalog warehouse

When it won’t update inventory

Reallocation will not return stock if:

  • You don’t manage inventory through the 3Dsellers Product Catalog

  • The SKU is not connected to a catalog item

  • The product does not exist (or was deleted) from your catalog

Best tip: If reallocation isn’t changing your inventory, the first thing to check is whether the item is properly set up in your Product Catalog and using the same SKU.


Automatic Refund Processing

When an order is canceled, 3Dsellers automatically sends a refund to the buyer if payment was received, using your preferred payment method.

  • If payment was received → refund is processed automatically

  • If payment was not received → no refund is needed

Refund timing depends on your payment provider and may take a few business days.


Best Practices for Order Cancellation

Before Canceling

  • Verify the order ID and items to make sure you’re canceling the correct order

  • Check the order status (some orders may require return handling instead of cancellation)

  • Confirm inventory availability before deciding whether to reallocate stock

  • Consider alternatives such as partial cancellation for multi-item orders

During Cancellation

  • Always select the correct cancellation reason

  • Leave Inventory Reallocation enabled if you manage inventory through the Product Catalog

  • Use Cancel Specific Transaction for partial cancellations

  • Review the warning message carefully before confirming

After Canceling

  • Confirm the order status changed to Cancelled

  • If reallocation was enabled, verify inventory updated in your Product Catalog warehouse

  • Monitor refund activity if payment was received

  • Document common cancellation reasons to spot trends (ex: frequent out-of-stock issues)


Important Notes and Limitations

Cancellation Limitations

  • Cancellation cannot be undone

  • Some orders may have status restrictions (example: shipped orders may require return processing)

  • Some marketplaces may apply channel-specific cancellation rules or time limits

Inventory Reallocation Limitations

  • Inventory reallocation only works when products are managed through the 3Dsellers Product Catalog

  • SKU matching is required for the system to return inventory automatically

  • If a product doesn’t exist in the catalog, inventory cannot be reallocated

  • Reallocated inventory returns to the Product Catalog warehouse

Refund Limitations

  • Refunds are only processed when payment was received

  • Refund timing depends on your payment provider

  • Partial payments result in partial refunds (based on what was paid)

Cancel Specific Transaction Limitations

  • Works only for multi-item orders

  • Some orders or channels may not support partial cancellations
