🧠 The Import Popup: Settings Explained

Whether you start from the Listing Tool or from the Catalog, you get the same import settings popup. The only difference is that the Catalog version asks you to pick the selling channel first.

The popup lists exactly what gets pulled in: SKU, images, titles, descriptions, pricing, custom attributes, categories, tags, and inventory.

1. Choose the Selling Channel

Select which connected channel to import from (e.g. eBay US, eBay UK, Amazon). This controls where listings are pulled from.

This step only appears when you import from Products Catalog → Import → Import Products from Channel. If you started from the Listing Tool, the channel is already decided by the listings you selected.

2. If the product already exists in the catalog

This is the most important choice in the popup. It decides what happens when an incoming listing matches a product that is already in your Catalog. Pick one of three options.

Import new products only

  • Skips anything already in the Catalog

  • Only listings with no matching Catalog product are imported

Use when:

  • You are just adding new items and want existing Catalog data left completely untouched

Merge

  • Fills in missing fields only

  • Data that is already in the Catalog is never changed

Use when:

  • You want to top up incomplete products without losing edits you made inside 3Dsellers

Override

  • Replaces existing Catalog data with the imported data

Use when:

  • Your channel listings are the source of truth

📌 Check which option is pre-selected before you click Import. The default is not the same in both places, so it is worth a quick look each time.

3. Apply to imported products

These two settings apply to everything the import brings in. Both are off by default.

  • Set inventory location to - tick this and pick a warehouse so all newly imported products have their stock assigned there. If you leave it off, 3Dsellers assigns stock to a warehouse based on the listing's own location data from the channel, which can create a lot of small warehouses over time.

  • Add tags - tick this and select one or more tags to apply to every product the import creates or updates. Useful for tracking where a batch came from, for example "Imported from eBay".

💡 Tip: If you want all products to land in one central warehouse (e.g. your "Main Warehouse"), select it here before importing. This keeps your inventory organised and avoids having to manually reassign stock after the import.

4. Advanced matching rules

This section is collapsed at the bottom of the popup. Click the arrow on the right to expand it. It controls which fields identify the same product across the catalog and the channel, which is what decides whether an incoming listing is treated as an existing product or a brand new one.

  • Match products by - the left dropdown is the 3Dsellers field, the right one is the channel field. Until you select a channel, the right side shows "Select a channel". The default on both sides is SKU.

  • Add Another field - add a second identifier for tighter matching. Available fields: SKU, Title, UPC, EAN, ASIN, MPN, ISBN.

  • The grey summary line - the popup restates your rule in plain English, for example Products will be matched where SKU equals SKU. Read this before importing, it is the quickest way to catch a wrong match field.

  • Match SKU by pattern - tick this when your channel SKUs carry a prefix or suffix that the catalog SKU does not. Enter the pattern in the format prefix-{SKU} or {SKU}-suffix. For example, channel SKU UK-12345 will match catalog SKU 12345.

💡 Tip: The small ⓘ icons next to several of these options give a short explanation directly in the app.

Bringing channel changes into the Catalog

Changes you make directly on the sales channel (eBay, Shopify, Amazon and so on), such as editing a title, description or price, are not pulled into 3Dsellers automatically. Your Catalog keeps the data from the last time the product was imported.

To bring those changes in, you need to do two things:

1. Re-import the listing from the Listing Tool (Re-import Listings from channel → Quick/Full Sync)

Re-import listings from channel (screenshot 12)

2. Run the Catalog import again with Override selected. With Merge or Import new products only, products that already exist keep their current values and the new channel data will not come through.

🔄 After Import: What Happens Next

After import completes:

  • Listings become Catalog products

  • Images, descriptions, price, and inventory are pulled in

  • Matching logic merges duplicate listings with the same identifier

  • New products are created unless blocked by settings

🔁 Want Catalog Changes to Update Live Listings?

Imports affect the Catalog only.

To push updates back to the channel:

  1. Go to Products Catalog → Products

  2. Select items

  3. Click Bulk Actions → Bulk Revise Listings

✅ Best Practices

  • Enable Catalog before importing

  • Use SKU + UPC/EAN when possible

  • Use Override carefully, it replaces Catalog data

  • Add tags like Imported from Channel

  • Import a small batch first to validate behavior
