Low Inventory Alerts: Get an Email When eBay Stock Drops

Get an email when an eBay listing's warehouse stock falls below your number, using a 3Dsellers Warehouse Updated automation with the Send Alert action.

To get an email when your eBay stock runs low in 3Dsellers, create a Listings Automation. Go to Listings & Products → Listings Manager → Automations, click New Automation, set Channel to eBay and Trigger to Warehouse Updated, set When warehouse inventory to less than the number you want, add the Send Alert action, choose who to notify in Emails to notify, and click Save And Activate. The Listings Manager Alerts page that this article used to describe has been removed from 3Dsellers and is no longer in the menu.

⚠️ Alerts set up on the old Alerts page do not send, and they were not turned into automations. To get low stock emails, create the automation described below.

What a low inventory alert automation does

A low inventory alert in 3Dsellers is a Listings Automation that does this:

  • It watches the Warehouse Inventory of your eBay listings. Its trigger, Warehouse Updated, runs when a warehouse quantity changes.

  • It checks the number you set in When warehouse inventory and carries on only for listings that match it, for example less than 5.

  • It emails the addresses you choose in Emails to notify, using the Send Alert action.

  • It can be limited to some listings with Filters, for example a tag, a SKU or a category.

A low inventory alert automation does not do this:

  • It does not watch the quantity buyers see on eBay. It watches your Warehouse Inventory - see Warehouse Inventory vs eBay Quantity: What's the Difference?.

  • It does not let you write the email. The Send Alert action has one field, Emails to notify. To write your own subject and text, use Send Email instead.

  • It does not email buyers. Send Alert is an internal notification and never reaches buyers.

  • It does nothing until you activate it.


Where do I set up low inventory alerts now?

Low inventory alerts now live on the 3Dsellers Listings Automations page:

  1. In the 3Dsellers main menu, click Listings. The side panel is headed Listings & Products.

  2. In the side panel, open Listings Manager and click Automations.

  3. The Automations page has two tabs: Automations, your list of rules, and Logs, a history of what ran. On the Automations tab, click New Automation.

The Listings Manager group now lists CSV Import, Automations, Settings, Business Policies, Video Library, Compatibility Presets, Image Hosting and Inventory Logs. There is no Alerts item any more, and an old bookmark to the Alerts page opens the Listings page instead.


How do I set up a low inventory alert, step by step?

Clicking New Automation opens the Create Automation panel. Fill it in from top to bottom.

Step 1: Name, Notes and Channel

  1. Name: required. If you leave it empty, the panel shows Enter name under it. Pick a name you will recognize in the Logs, for example Low stock under 5.

  2. Notes: optional, for your own notes on what the automation is for.

  3. Channel: choose eBay.

Step 2: Trigger - choose Warehouse Updated

Open Trigger. Listings Automations offer four triggers: Draft Created, Item Listed, Run By Schedule and Warehouse Updated. Choose Warehouse Updated. It runs when a warehouse quantity changes, and it is the only trigger that offers the Send Alert action.

Step 3: When warehouse inventory - set your low stock number

With Warehouse Updated selected, the panel shows the row When warehouse inventory: an operator box and a number box marked units.

  1. Set the operator box to less than. Its three options are less than, equals to and more than. There is no "less than or equal to" option.

  2. Type your number in the units box, for example 5. If you leave the box empty, the panel shows Please input digits.

⚠️ Check the operator before you save. It can already show more than when the row appears, and with more than the automation carries on for listings above your number, the opposite of a low stock alert.

Step 4: Actions - add Send Alert

Click Select Action... and choose Send Alert. With the Warehouse Updated trigger the list offers Apply Listing Designer Template, Edit Listing Tags, Find and Replace, Generate AI Description, Generate AI Listing Content, Generate AI Title, Copy to Drafts, Price Automation, SEO Edit, Send Alert, Send Email, Update eBay Inventory, Update SKU, Update Up To Quantity and Update Warehouse Inventory. Send Alert comes right after SEO Edit; scroll the list if you do not see it.

Step 5: Emails to notify

Choosing Send Alert adds a card called 1. Send Alert with one field, Emails to notify.

  1. Click Select emails and choose the address to notify. You need at least one: with none chosen, the card shows Select at least one email.

  2. If the address you want is not in the list, the card tells you what to do: If you don't see your email here, please verify the email by clicking here. Use that clicking here link to verify the address.

Step 6: Save And Activate

The buttons at the bottom of the Create Automation panel are Cancel, Save and Save And Activate. Cancel discards the automation, Save keeps it switched off so you can review it, and Save And Activate turns it on straight away. A Listings Automation only runs while it is Active, so click Save And Activate when the settings are right.


Send Alert, Send Email or a catalog automation: which should I use?

Send Alert is not the only way to email yourself from a 3Dsellers automation. These are the options this article covers:

What happened to the old Alerts page settings?

3Dsellers has removed the Listings Manager Alerts page and every alert setting on it, and nothing was carried over to Automations. This is the closest way to get each old alert now:

💡 To try a new alert on a few listings first, add a Filter on a tag and put that tag on those listings only, then remove the filter once you are happy with it.


Things to know before you rely on it

  • Listings with variations: a change to a variation's warehouse inventory runs the automation only when Inventory Control is on for that eBay listing - see What is Inventory Control? (How it works and what to do if it doesn't).

  • Changing the trigger removes Send Alert: Send Alert is allowed on Warehouse Updated only, so if you switch the trigger after adding it, 3Dsellers takes it out of your Actions. Switch back and add it again.

  • Warehouse Inventory, not the eBay quantity: the condition reads When warehouse inventory. The quantity buyers see on eBay can be different from your Warehouse Inventory.

  • eBay only: the Warehouse Updated trigger is documented for eBay listings, so set Channel to eBay. This article does not cover other channels.

  • Filters narrow which listings are eligible before Send Alert runs. To cover only some listings, filter on a tag, a SKU or a category.

  • The email itself: what the Send Alert email says, and whether it repeats for a listing that stays below your number, is not covered in this article yet. The Logs tab is a history of what the automation ran.


What a low inventory alert will not do

  • A low inventory alert automation will not tell you when a listing has sold a set number of times. That old Alerts option has no direct replacement.

  • It will not tell you when Inventory Control fails to update an item. That old option has no direct replacement either.

  • It will not let you write the Send Alert email. Use Send Email for your own subject and text.

  • It will not email buyers.

  • It will not check your stock on a timer. Warehouse Updated runs when a warehouse quantity changes.

  • It will not run until it is Active.

  • It will not bring back alerts that were set up on the old Alerts page.


Troubleshooting

The Alerts page link opens my Listings page instead

The Listings Manager Alerts page has been removed, so its old address now opens the Listings page. Set up low inventory alerts in Listings & Products → Listings Manager → Automations instead, as described above.

I set up low stock alerts on the old Alerts page and get no emails

Alerts set up on the old Alerts page do not send, and they were not turned into automations. Create a Warehouse Updated automation with the Send Alert action to get low stock emails.

I can't find Send Alert in the Actions list

Send Alert is only offered when the Trigger is Warehouse Updated. Set the trigger first, then open Select Action.... Send Alert comes right after SEO Edit; scroll the list if you do not see it.

My email address is not in Emails to notify

The Send Alert card says If you don't see your email here, please verify the email by clicking here. Use the clicking here link under the field to verify the address.

I see Enter name, Please input digits or Select at least one email

These red messages mark a field in the Create Automation panel that still needs a value: Enter name under an empty Name, Please input digits under an empty number box, and Select at least one email under Emails to notify when no address is chosen. Fill each one in.

The automation is active but no alert arrived

  • Check that the operator says less than, not more than, and that the number is the one you meant.

  • Warehouse Updated runs when a listing's warehouse quantity changes. Nothing is sent until that happens for a listing that meets your When condition.

  • For a listing with variations, check that Inventory Control is on.

  • Check that your Filters do not leave the listing out.

  • Open the Logs tab and search by Item ID. The Logs are a history of what ran, with the date, item, automation name, trigger, actions performed and status.


FAQ

Where is the Alerts page in 3Dsellers Listings Manager?

The Alerts page is gone - 3Dsellers has removed it from Listings Manager. Low inventory alerts are now set up as a Listings Automation in Listings & Products → Listings Manager → Automations, with the Warehouse Updated trigger and the Send Alert action.

Do alerts from the old Alerts page still work?

No - alerts set up on the old Alerts page do not send, and they were not converted into automations. Create a Warehouse Updated automation with Send Alert to get low stock emails.

Can I get an alert when an eBay listing sells a certain number of times?

No - the quantity sold alert was removed with the Alerts page, and there is no direct replacement for it in Listings Automations. Submit an automation feature request so it is counted.

Who receives the Send Alert email?

The Send Alert email goes to the addresses you choose in Emails to notify. If an address is missing from that list, the card asks you to verify it with the clicking here link under the field. Send Alert never emails your buyers.

Does the low inventory alert watch my eBay quantity or my Warehouse Inventory?

The low inventory alert watches your Warehouse Inventory: the condition is When warehouse inventory, and the Warehouse Updated trigger runs when a warehouse quantity changes. The quantity buyers see on eBay can be different - see Warehouse Inventory vs eBay Quantity: What's the Difference?.

Can I write my own text for the low stock email?

Not with Send Alert - its only field is Emails to notify. Add the Send Email action from the same Actions list instead, which lets you write your own subject and body.

Do low inventory alerts work for Shopify, Amazon or other channels?

This article covers eBay only, because the Warehouse Updated trigger is documented for eBay listings.
