The 3Dsellers Sales Email Templates library is a free collection of 91 pre-written eBay buyer messages, in 6 sections and 21 tabs, that you can personalise and copy straight into an eBay message. Nothing is gated and nothing is installed: every template is already on the page, each has its own Click to copy! button, and you can edit the wording in the browser first. Fill in the Auto-Fill fields at the top of the page and your discount, your code and your store links are written into the templates as you type.
💡 Open the free Sales Email Templates library - no account, no login and no email address required. It is one of the 3Dsellers free selling tools.

In this article:
What the 3Dsellers Sales Email Templates library is
The 3Dsellers Sales Email Templates library is a single web page holding 91 ready-to-send message bodies for the situations eBay sellers write to buyers about: promotions, thank-you notes, shipping updates, cancellations, returns, feedback requests and out-of-office replies. It is a copy-and-paste library, not a sending tool.
What it does:
Gives you 91 free eBay message templates in 6 sections and 21 named tabs, most in several numbered versions so you can pick the tone that fits.
Writes your discount percent, discount code, store link, contact link and promoted link into the templates as you type them into the Auto-Fill fields.
Lets you edit any template in place, then copy the finished plain text with one button.
What it does not do: it does not send, schedule or save anything, it does not connect to your eBay account, and every template is plain text rather than a designed HTML email - which is what eBay Messages accepts. It also does not fill in every placeholder for you: see Which placeholders do I still have to replace myself? below. The full list is in Limits.
What templates are in the library?
The 3Dsellers Sales Email Templates library has 6 sections. Each section has a vertical list of named tabs down its left side, and each tab holds several numbered versions of the same message. The counts below are exact.
Section | Tabs | Templates | Use it for |
Flash Sale (3), New Items (3), Season or Holiday (3) | 9 | Promoting a sale, a new product line or a seasonal offer
Thank you! (9), +Promotion (7), +Discount (5), +Feedback (5) | 26 | Post-purchase thank-yous, with or without a promotion, a discount code or a feedback request
Shipped (5), Delayed Handling (4), Carrier Delayed (4), Out For Delivery (3), Delivered (4) | 20 | Telling a buyer the order shipped, is late, is out for delivery or has arrived
Seller Cancel (4), Buyer Cancel (4), Returns (5) | 13 | Cancelling an order, confirming a buyer's cancellation, and handling returns
Request Feedback (3), Negative Feedback (5), Positive Feedback (5) | 13 | Asking for feedback, and replying to feedback already received
Message Received (4), After Hours (3), Vacation Reply (3) | 10 | Automatic replies while you are away or outside business hours |
The seven cards near the top of the page jump to these sections. There are seven cards for six sections because Return Request and Cancel Order both go to Cases; Return Request also switches Cases to its Returns tab for you.
How do I use the Sales Email Templates?
Working through the 3Dsellers Sales Email Templates library takes seven steps, and nothing is saved, so do them in one visit:
Fill in the Auto-Fill fields near the top of the page. There is no submit button - the templates update as you type. Fill Link to Your Store last: while it has focus, its help note covers the Promoted URL field below it.
Scroll to the section you need, or use one of the section cards to jump there.
Pick a tab from the list down the left side of that section - Shipped or Carrier Delayed, say.
Pick a numbered version from the 1 2 3 buttons at the top right of the template box.
Read the template, edit anything you want to change, and replace any bracketed placeholders that are left.
Click Click to copy!. The button reads Copied! for five seconds and the plain text is on your clipboard, ready to paste into eBay.
The tabs are the situation; the numbered buttons are the wording. Here are the Shipping section's five tabs, with Shipped selected:
Inside a tab, the numbered buttons at the top right of the box swap the template body. Here version 3 of the Flash Sale tab is selected, which is the end-of-sale wording:
⚠️ Switching tabs resets the version to 1. Pick the tab first, then the version - if you pick version 3 and then change tabs, that section goes back to version 1.
What do the Auto-Fill fields fill in?
The Auto-Fill Your eCommerce Email Templates block at the top of the 3Dsellers Sales Email Templates library has seven text fields, and five of them write their value into the templates as you type - no button to press. Each value appears in every template that uses that placeholder:
Auto-Fill field | What to enter | Places it fills |
Link to Your Store | The URL of your eBay Store, for example ebay.com/str/yourstore | 36 spots in 35 templates - the most widely used of the five |
Link to Contact You | The URL buyers use to contact you on eBay | 13 spots in 13 templates |
Discount Code | The code a buyer types at checkout, for example SAVE15 | 15 spots in 15 templates |
Discount % | The discount as a number, for example 15 | 16 spots in 13 templates |
Promoted URL | A link to the item or category you are promoting | 8 spots in 8 templates |
Below, four of the five working fields are filled in: Link to Your Store (1), Discount Code (2), Discount % (3) and Promoted URL (4). Link to Contact You, the fifth, is empty. Sender's Name and The Name of Your Store are not highlighted because they do not reach the templates - see the next section.
Scroll to any template and those values are already in the text. This is Flash Sale version 1 with nothing typed into the template itself - the discount, the code and both links came from Auto-Fill:
⭐ Treat the Auto-Fill values as public marketing information: typing in these fields fires the page's marketing tags. A store URL and a discount code are fine; anything confidential is not.
Which placeholders do I still have to replace myself?
Auto-Fill does not fill in your name or your store name. Both fields exist on the page - Sender's Name and The Name of Your Store - but the placeholders in the template text are spelled differently, so The Name of Your Store reaches 0 of the 91 templates and Sender's Name reaches 1. Everywhere else, you replace those placeholders by hand.
⚠️ Replace the bracketed placeholders before you send a template. After all seven Auto-Fill fields are filled in, 89 of the 91 templates still contain at least one placeholder in square brackets, and those brackets are copied to your clipboard exactly as they appear. The ones you will see are [StoreName] (in 128 places, by far the most common), [SellerName] (33 places) and [SenderName] (15 places). A template you paste straight into eBay without checking will greet your buyer with a line like "The [StoreName] Team".
The one-line check: before you send, search the pasted text for an opening square bracket - [ - with Ctrl+F on Windows or Cmd+F on a Mac. Anything it finds is a placeholder you have not replaced yet.
Four templates also hold a one-off placeholder that no field fills: [insert_name], [StoreLink], [Store Name] with a space, and [SendName]. Searching for [ catches those too, which is why it beats looking for particular words.
The fastest fix is to edit the template on the page before you copy it: click into the text, select the placeholder, and type over it. Here the Flash Sale sign-off has had the store name typed in by hand:
What do the brackets, braces and hashes in a template mean?
The templates in the 3Dsellers Sales Email Templates library use three placeholder systems that behave completely differently, and only one is explained on the page. The {merge_tag} system is the widest: 19 different merge tags appear 183 times, across 76 of the 91 templates.
Looks like | What it is | When it is replaced |
[Brackets] | Auto-Fill placeholders belonging to this page | As you type, but only for the five fields that fill. The rest stay literal and you replace them yourself |
{snake_case} | 3Dsellers merge tags for Auto Messages and the Multichannel Helpdesk | Only when the message is sent by 3Dsellers Auto Messages or the Multichannel Helpdesk. This page never touches them - they are copied out as-is |
#Token | Typed snippets. Type one inside a template body and it expands to that Auto-Fill field's value | On the next keystroke, while you are editing the template on the page |
The page's own snippet card lists seven tokens you can type into a template body:
⚠️ Two of the seven snippets on that card do not work as printed. #SellerName and #StoreName are left exactly as you typed them; the tokens that work for those two fields are #Seller-Name and #Name. The other five - #StoreURL, #ContactURL, #DiscountCode, #DiscountPerc and #PromoURL - work as printed. If the matching Auto-Fill field is still empty, the snippet expands to the sentence "Enter a value in the ... input above to change me" instead of a value, so fill the field in first.
How do the shipping templates work with tracking details?
The Shipping section is the clearest example of the {merge_tag} system, because a shipping message is mostly facts that change with every order. The first Shipped template holds a three-line block of merge tags rather than anything you type:
{tracking_number} - the tracking number for the parcel.
{courier} - the carrier. The library is inconsistent: {carrier} appears in 7 templates and {courier} in 2 (Shipped versions 1 and 2). Check which spelling your 3Dsellers app expects, or type the carrier name in yourself.
{estimated_delivery_date} - the expected delivery date.
These tags fill in only when a 3Dsellers app that knows the order sends the message - Auto Messages or the Shipping Tracker. Paste the template into eBay by hand and the braces are still there: type the tracking number, carrier and date in yourself.
💡 Each section names the app it pairs with: Cases templates are meant as snippets in the Multichannel Helpdesk, and Feedback templates pair with Feedback Reminder and Auto Messages. The library is the wording; those apps send it.
Can I edit a template before I copy it?
Yes - all 91 template bodies in the 3Dsellers Sales Email Templates library are editable in the browser: the box showing the template is the editor, so there is no Edit button. Click anywhere in the text and type - rewrite a line, delete a paragraph, select a placeholder and type over it, or type a #Token snippet to drop an Auto-Fill value into a new spot. What you copy is the text as it stands on screen, including your edits.
The Click to copy! button selects the whole template body - which is why the text turns blue - and copies it as plain text. It reads Copied! for five seconds, then goes back to Click to copy!:
⚠️ Your edits are not saved. Reloading the page, or closing the tab, restores every template to its original wording and empties the Auto-Fill fields. Copy the template and paste it somewhere before you leave the page.
Longer templates do not fit the box: 15 of the 91 have a hidden last line or two, so scroll inside the box before you decide a template is finished - see I cannot see the end of the template.
Read the template before you send it
⭐ Read a template all the way through before you send it. Some templates still carry the author's own working notes in the text - 1_or_2_or_3_, SEASON_, PRODUCT_NAME_, DATE_, GREAT_AWESOME_REFRESHING_USEFUL_ and similar. They are lists of choices for you to pick from, not words to send. They are in the whole Sales section - Flash Sale version 1, all three New Items and all three Season or Holiday templates - and in Autoresponder > Vacation Reply version 1. Replace them the way you replace the bracketed placeholders, and check the sign-off in particular, because that is where the store name sits.
Three template pairs are duplicates, and two pairs are in the wrong tab. Under Autoresponder Email Templates > Vacation Reply, versions 2 and 3 are copies of the Positive Feedback templates and open by thanking the buyer for leaving feedback, so only Vacation Reply version 1 is a real out-of-office message. In the Shipping section, Delayed Handling version 4 and Carrier Delayed version 4 are the same message.
One template is not an eBay flow: Cases Email Templates > Returns version 5 is labelled Amazon Refund and sends the buyer to a UPS Store locator on theupsstore.com. eBay restricts links to sites outside eBay in buyer messages, so use one of the other four Returns templates, or delete that link and the Amazon steps first.
Limits
The 3Dsellers Sales Email Templates library is a copy-and-paste reference, nothing more. It will not:
Send a message, schedule one, or connect to your eBay account, orders, buyers or listings in any way.
Fill in your store name or your name. The Name of Your Store reaches 0 of the 91 templates and Sender's Name reaches 1.
Fill in the {merge_tag} placeholders. Those are only resolved by 3Dsellers Auto Messages, Shipping Tracker or the Multichannel Helpdesk when they send the message.
Save your Auto-Fill values or edits between visits, or let you download or export the templates.
Give you a subject line, or a designed HTML email. All 91 templates are plain-text message bodies.
Let you search or filter the library. You navigate by section, tab and version number.
Name most of the templates. Only 21 of the 91 carry a Message Content: label; the other 70 go by tab and version number only.
Troubleshooting
I filled in my store name but the template still says [StoreName]
On the Sales Email Templates page, The Name of Your Store does not write into any of the 91 templates and Sender's Name writes into only one, because the placeholders in the template text are spelled differently from the fields. Replace [StoreName], [SellerName] and [SenderName] by hand: select the placeholder including its brackets and type over it, before you click Copy. Then search the pasted text for [ before you send.
A template says "now DiscountPerc% off" instead of a number
That is an Auto-Fill placeholder waiting for a value. The page strips the brackets off the placeholders it can fill, so an empty Discount % field shows as the bare word DiscountPerc. Type a number into Discount % at the top of the page and all 16 of those spots fill in immediately. The same applies to DiscountCode, StoreURL, ContactURL and PromoURL.
I cannot click the Promoted URL field
Click somewhere neutral first, then click Promoted URL. While Link to Your Store has focus, that field's help note sits on top of Promoted URL and swallows the click. Filling the Auto-Fill fields in this order avoids it: Discount %, Discount Code, Promoted URL, then Link to Your Store last.
I cannot see the end of the template
The template box is a fixed 544 pixels tall and scrolls its own content, so 15 of the 91 templates are cut off at the bottom - including the Flash Sale template the page opens on. Put your cursor inside the box and scroll there rather than scrolling the page. Copying always takes the whole template, hidden lines included, which is why a sign-off you never saw can still reach your buyer.
I typed #StoreName in a template and nothing happened
#StoreName and #SellerName are printed on the page's snippet card but are not the tokens the page looks for. Type #Name for the store name and #Seller-Name for the sender name instead. Those two fields still do not fill the templates' own [StoreName] and [SellerName] placeholders, so it is usually quicker to type your store name in directly.
My changes disappeared
Nothing on the Sales Email Templates page is saved. Reloading, following a link and coming back, or reopening the tab restores all 91 templates to their original wording and clears the Auto-Fill fields. Paste each template where you need it as you go, or keep finished versions in 3Dsellers Auto Messages or as Helpdesk snippets.
The version I picked switched back to 1
Clicking a different tab inside the same section resets that section's version to 1. Choose the tab first - Carrier Delayed, say - and then the numbered version. If you were on version 3 and changed tabs, pick 3 again in the new tab.
FAQ
Are the 3Dsellers Sales Email Templates free?
Yes - the 3Dsellers Sales Email Templates library is completely free and completely open. All 91 templates are on the page for anyone who opens it: no account, no login, no card, no email address and no download. The page has no email-capture field of any kind.
How many templates are there, and what do they cover?
The 3Dsellers Sales Email Templates library has 91 templates in 6 sections and 21 tabs: Sales (9), Thank You (26), Shipping (20), Cases (13), Feedback and Review (13) and Autoresponder (10). Between them they cover promotions, thank-you notes, shipping and delay updates, cancellations, returns, feedback requests, feedback replies and out-of-office replies.
Do the Sales Email Templates include subject lines?
No - not one of the 91 Sales Email Templates has a subject line, and there is no subject field on the page. Every template is a message body only, because they are written for eBay Messages, where eBay supplies the thread - which is why the page calls them eBay Messages compliant. Paste one into an ordinary email client and you will need to write your own subject line.
Does the Auto-Fill feature personalise every template?
No - Auto-Fill fills the templates from five of the seven fields: Link to Your Store, Link to Contact You, Discount Code, Discount % and Promoted URL. The two name fields do not reach the template text, so with all seven fields filled, 89 of the 91 templates still hold at least one bracketed placeholder - usually [StoreName]. Replace them yourself, and search the copied text for [ before you send.
What are the placeholders in curly braces, like {buyer_first_name}?
Placeholders in curly braces such as {buyer_first_name} are 3Dsellers merge tags for Auto Messages and the Multichannel Helpdesk, not placeholders belonging to the Sales Email Templates page - 19 tags appear across 76 of the 91 templates. That page never fills them, so if you paste a template into eBay yourself they arrive as literal text and you type the real value over them. They are filled in automatically only when a 3Dsellers app that knows the order sends the message.
Can I change the wording of a template?
Yes - every one of the 91 Sales Email Templates is editable in the browser: the box showing the template is also the editor. Whatever is on screen when you click Click to copy! is what lands on your clipboard. Edits are not saved, so copy the template before you reload or leave.
Can these templates be sent automatically?
Not from this page - the Sales Email Templates library has no send function at all. To send them automatically, paste the wording into 3Dsellers Auto Messages or the 3Dsellers Multichannel Helpdesk, where {merge_tag} placeholders such as {buyer_first_name} and {tracking_number} are filled in from the real order as the message goes out.
Are these templates safe to send through eBay Messages?
The Sales Email Templates are plain text with no images and no HTML, which is what eBay Messages accepts, and the page describes them as eBay Messages compliant. Three things are on you: replace every bracketed placeholder so you are not sending [StoreName] to a buyer; check that any store or promotion link you add is allowed in the eBay category and country you sell in; and remove the theupsstore.com link from Returns version 5 (Amazon Refund) before sending that one.
